ExpensAble Service Use Policy and Privacy Statement
ExpensAble is committed to provide a high quality customer experience and preserve the privacy and security of our customers and their information. We provide customers with a number of Business Services ("Services") that make use of the Internet. This document, the "ExpensAble Service Use Policy and Privacy Statement (SUPPS)," is a statement of guidelines that governs the operational practices of the Services concerning the information we collect and what we do with it. These guidelines are designed to describe our commitments concerning customer information and our usage policies.
Services Use Policy
ExpensAble makes the following commitments to our customers with regards to our Services:
- We pledge that we will not release personal or company information for marketing or third party promotional use without the appropriate level of (your or your company's) explicit permission.
- We pledge that we will provide the means for you to manage and limit the commercial use of information that you have provided to us.
- We pledge that we will provide mechanisms for you to opt-out of communications we may have engaged with you (see "Choice/Opt-Out" below). Furthermore, we will provide mechanisms for you to communicate your privacy questions and concerns to us and that we will respond to them thoroughly and thoughtfully in a timely fashion.
- We pledge we will not provide any unsolicited marketing communication, or provide your information for third party promotional use if you decide to opt-out (see "Choice/Opt-Out" below).
ExpensAble requires corporate customers to designate a primary person and provide their contact information for the purpose of communicating issues and information that pertain to administering our Services. ExpensAble reserves the right to contact the designated contact person or organization when significant operational issues exist and require action or further information from the customer, or when, in our opinion, failure to communicate would result in significant degradation of the Service we provide.
ExpensAble sends periodic Service-related communications, such as alerts and newsletters, to our Service customers. These newsletters contain valuable information regarding our Service that may affect you, such as maintenance information, enhancement announcements, known bugs and resolutions, and other information.
ExpensAble also sends periodic marketing-related communications on new products or Services, major announcements, or special promotional offers.
You may opt-out of receiving Service-related or marketing-related communications (see "Choice/Opt-Out" below) individually or as a company. Opting-out of these communications may impact our ability to provide the quality of service level we may have committed to you. Furthermore, there may be cases in which an employee of a company may opt to receive certain communications directly, even though the company has opted out, in which case we will respect the individual's right to receive this information.
Privacy Policy
ExpensAble collects personal information only as necessary to complete certain transactions. Our site includes forms which customers use to request information, purchase products and Services, and register products and Services.
Demographic and profile data may also be collected at our site. Our online surveys may ask visitors for contact information (like their email address), financial information (like their account or credit card numbers), and demographic information (like their zip code, age, or income level). We may run contests on our site in which we ask visitors for similar. In such cases, we will inform all contest participants of any specific rights to use, retain, or make use of information or other materials that we request of a contestant through a statement or clearly identified link from the contest Web page or other media.
We may use contact data from our forms, surveys and contests to send the user information about our company. We may also use this data to tailor our visitor's experience at our site, showing them content that we think they might be interested in, and displaying the content according to their preferences.
We may use your IP address to assist in the diagnosis of a problem with our server, or to administer our Web site.
Our Web sites also contain links to third party sites. ExpensAble is not responsible for the privacy practices or the content of any third party.
Choice/Opt-Out
We provide users the opportunity to opt-out of receiving communications from ExpensAble and our business partners at the point where we request information about the visitor. We give users the following options for removing their information from our database to not receive future communications or to no longer receive our Service.
- You can request to be removed from a marketing communications list by sending a request, via email, to webmaster@ExpensAble.com
Correct/Update
Our Services give users the ability to change and modify their personal information. Service users may correct/update their information in the following ways:
- Notify your company administrator for the Service. If you do not know your company administrator, you can send email to support@ExpensAble.com
- Refer to the application service documentation for instructions on how to correct/update individual information.
For customers of our packaged products, you may change/correct your information by: sending an email request to support@ExpensAble.com
Security
Security is a prime concern for us and we have taken all reasonable steps to ensure a level of security based on today's highest standards. All data outside our multiple firewalls is encrypted (40-bit or 128-bit depending on a user's browser settings), including client sessions and tape backup. In addition to a Class A physical data center, we conduct intrusion detection, incorporate proactive counter measures in the event of an intrusion, and perform weekly security audits to ensure our security level.
Third Party Relationships
ExpensAble may engage with third parties to deliver additional value-added services to our customers. In order to provide an integrated and positive user experience between our services and our third party partner's services, we may need to share your information. Such sharing of information may be for the purposes such as provisioning a single sign-on via user authentication or personalizing services that more closely match your specific needs. You will have the right to opt-out (see "Choice/Opt-Out" above). If you do opt-out, it may impact our ability to provide the level of service quality we have committed to you. We will inform you when a service cannot be delivered due to your information decisions.
There may be certain situations where you may be able to benefit from our partner's other services/products. From time to time, we may inform you of these benefits through marketing-related communications. If you do not wish to receive these communications, you will have the right to opt-out (see "Choice/Opt-Out" above).
ExpensAble's Rights and Responsibilities
In providing ExpensAble Services, ExpensAble has certain rights and responsibilities to you and to Federal and State legal authorities. Following is a list of some, although not all, of ExpensAble's rights and responsibilities.
In providing Service to you, certain ExpensAble employees or representatives have the right and responsibility to examine operational systems, access logs or audit trails in order to resolve problems or service system errors. Certain ExpensAble employees or representatives have the right and responsibility to monitor operational systems, access logs or audit trails for purposes of measuring system performance and for billing purposes. Except for certain authorized employees, we prohibit our employees from viewing, duplicating or tampering with our customers' information. Any violation of this policy will be dealt with in a swift and appropriate fashion.
ExpensAble takes necessary measures to provide a high level of security for the Services offered (see "Security" above). In offering the Services, ExpensAble cannot provide any guarantee of secure service or secure servers including any data on the servers or part of the services, even if the service or servers are described as "SECURE". ExpensAble will also not assume any liability for the security of the services, the servers or the data.
ExpensAble will cooperate with the appropriate legal authorities in investigating claims or illegal activities. For any violations of these policies, ExpensAble is limited only to those liabilities outlined in the ExpensAble Service Agreement.
